How we brought Nova Post’s vision to life and built an employee portal for the largest postal company in Ukraine
By the time Nova Post reached out to us, they already knew what they needed. But they lacked the technical expertise to bring it to life — that’s where Stfalcon came in.
Following their requirements, we launched an MVP in just six months: an HR platform that automates all core management tasks, from leave tracking and payroll to electronic document signing. Over the next 2,5 years, we worked hand-in-hand with Nova Post to improve the platform, adding new features and refining the user experience.

We started with integration into Nova Post’s ERP system
First, we had to unify all of Nova Post’s employee data in one system. Since they relied heavily on 1C, an ERP system, our first challenge was to set up a smooth integration. This ensured no duplicate databases or syncing delays — just one reliable, unified source for all employee information, from job positions to leave balances. We also implemented strict role-based access control and encrypted all personal data to meet both internal and legal standards.
On top of that, together with Nova Post, we migrated the entire database from MS SQL to PostgreSQL — the biggest technical challenge of the project. It required data restructuring, careful query optimization, and a solid backup and rollback system to avoid data loss.

Automated document signing followed next
We integrated a Qualified Electronic Signature (QES) module to allow instant and secure document signing, no printing or scanning needed. Implementing this was no small feat. We had to use a specialized library for digital signatures and even develop our own internal solution. The signatures are stored on a network cryptographic module, adding another layer of security. It took us a month to fine-tune everything, and the result was a noticeable drop in admin time for document management.
Nova Post gave us a design system, and we expanded it with new user interface elements
Nova Post handed us a detailed brand book, and we respected every pixel of it. From typography to colors, their design system had clear, strict rules. Before starting, we studied it inside out and synced closely with their lead designer. Once aligned, we were trusted to expand the system where needed. As their internal styles evolved, we adjusted our work, proposing new UI elements while keeping everything cohesive.
We rolled out payroll and employee inventory modules
Then, we continued to add features Nova Post wanted to see in the new system. To reduce HR workload, we implemented modules for payroll and inventory. Now, employees can log in to download their salary statements, payment records, and contracts directly. On the backend, the asset management system tracks laptops, phones, scanners, and uniforms, tying each item to a user profile and greatly reducing the risk of losses across the company’s vast workforce.
We centralized all internal services in a single admin panel
Finally, following Nova Post’s vision, we designed a modular interface that brings together every internal service an employee might need, from onboarding to hardware requests. Need an income statement or want to check your vacation balance? It's all in one place. No more emails, spreadsheets, or HR calls. Each service has its own workflow and status tracking, so nothing gets lost or delayed.
